Convention 2014 – Vendor Details

Schedule

Set up Friday, November 14, 2014 8:30am – 10:30am Tear down Saturday, November 15, 2014 Conclusion of the convention (late afternoon) We ask that exhibitors NOT tear down their displays until after the conclusion of the convention.

Exhibitor Policies

These policies have been formulated in the best interests of all concerned, and any matters not covered here are subject to the decisions of the convention vendor coordinator(s). The Episcopal Diocese of Fort Worth reserves the right to accept or reject any application.

Location of Exhibits

The exhibition area will be inside the Jack Daniel’s Club at Globe Life Park.

Registration

Exhibitors will be issued name badges for each space rented. On the registration form, please include the complete name(s) of those who will be working in your booth.

Set up and Tear Down

It is the responsibility of each exhibitor to install the exhibit before the opening of the convention and to dismantle it immediately after the close of the convention. Set up will begin at 8:30 am on Friday, November 14, 2014. All exhibits must remain intact until the conclusion of the convention on Saturday afternoon, November 15, 2014.

Payment and Cancellation

Payment for exhibit space must accompany the online completed exhibitor application and exhibitor agreement. All cancellations must be made in writing to the convention vendor coordinator(s). If notification is received in writing prior to October 14, 2014, all monies will be returned. Any such cancellations must be received via email at vendor.registration@edotn.org. However, no refunds will be made after October 14, 2014. Failure to occupy exhibition space in no way releases the exhibitor from the obligation to pay for the full cost of the requested space. If said space is not occupied within one hour before the official opening session of the convention, the convention vendor coordinator(s) will have the right to use such space as he/she sees fit to eliminate a gap in the exhibition area. In the event of flood, fire, strikes, riots, civil commotion or other uncontrollable circumstances that render the exhibit area unfit or unavailable for use, all monies paid for exhibition space will be refunded.

Use of Space

All demonstrations or other promotional activities must be confined within the limits of the exhibit space. There must be sufficient space remaining to contain convention attendees visiting the booth to participate in such activities. Exhibitors shall not assign, sublease or share the allotted space without the knowledge and consent of the convention vendor coordinator(s). Exhibited items are limited to goods manufactured or distributed by the exhibitor in its regular course of business. An organization not purchasing exhibit space will not be permitted to solicit business during the convention.

Restrictions

The convention vendor coordinator(s) reserves the right to restrict exhibits that become objectionable because of noise, method of operation, materials or for any other reason, and also to prohibit or to evict any exhibit that in the opinion of the convention vendor coordinator(s) may detract from the general character of the conference as a whole. In the event of such a restriction or eviction, the convention will not be liable for any refunds or other exhibit expenses.

Liability

Neither the Episcopal Diocese of Fort Worth, nor its officers, directors, agents, nor employees are liable for any damages or losses that may occur to an exhibitor or to an exhibitor’s employees or property from any cause whatsoever. The exhibitor, on signing the contract, agrees to hold forever harmless the aforementioned from any and all liability, claims, losses and expenses for personal injury, accident, property damage or loss arising out of, in, at, or in connection with the exhibitor’s display, including losses arising from the cancellation of the convention.

Furthermore, exhibitor shall be fully responsible to pay for any and all damages to property owned by Jack Daniel’s Club and Globe Life Park, its owners or managers which results from any act or omission of exhibitor. The exhibitor agrees to defend, indemnify and hold harmless the Episcopal Diocese of Fort Worth, Jack Daniel’s Club and Globe Life Park, their owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from the exhibitor’s use of the property. The exhibitor’s liability shall include all losses, costs, damages or expenses arising from or out of or by reason of any accident or bodily injury or other occurrences to any person or persons, including the exhibitor, its agents, employees and business invitees which arise from or out of the exhibitor’s occupancy and use of the exhibition premises.

Security

The convention will not provide security. Exhibitors are solely responsible for their own exhibit materials and should insure their exhibit against loss or damage from theft, accident, vandalism, fire or other causes as they see fit.

Care of Building and Equipment

Exhibitors or their agents must not injure or deface the walls or floors of the building, the exhibit space or the equipment of the exhibit space. Nothing shall be poised on, tacked, nailed, screwed, or otherwise attached to columns, walls, floors or other parts of the building or furniture. When damage appears, the exhibitor is liable to Jack Daniel’s Club and Globe Life Park. Anything in connection therewith necessary or proper for the protection of the building, equipment or furniture will be at the expense of the exhibitor.

Mailing Lists

Exhibitors may compile a mailing list by direct solicitation of persons visiting their booth; however, compiling a mailing list of convention attendees from any other source is strictly prohibited.
